Common Questions
Frequently Asked Questions
Everything you need to know about day-of wedding coordination, our services, and what to expect when working with Hillcrest & Co.
What does a day-of wedding coordinator do?+
A day-of wedding coordinator manages every logistical detail on your wedding day — from timeline management and vendor communication to ceremony oversight and emergency problem-solving — so you can be fully present. Despite the name, coordination actually begins 4–6 weeks before your wedding. At Hillcrest & Co., this pre-event phase includes reviewing all vendor contracts, creating a minute-by-minute timeline, confirming every vendor arrival time, conducting a venue walkthrough, and distributing the final plan to your entire vendor team and wedding party.
How much does a day-of coordinator cost in Ontario?+
Day-of wedding coordination in Ontario typically ranges from $1,200 to $3,500 depending on the scope of services. Hillcrest & Co. offers Day-Of Essential coordination starting at $1,500 CAD and Day-Of Premium at $2,000 CAD, which includes additional services like décor setup, styling, and rehearsal coordination.
What areas does Hillcrest & Co. serve?+

Travel within Southern Ontario is included in our packages. Read our venue guide by region →
When should I book a day-of coordinator?+
We recommend booking at least 6–8 months before your wedding date to ensure availability, especially during peak season (May through October). However, we begin active coordination work 4–6 weeks before your event to review all vendor contracts, finalize the timeline, and ensure every detail is accounted for.
Do I still need a coordinator if my venue has one?+
Yes — a venue coordinator and a day-of wedding coordinator serve very different roles. Your venue coordinator manages the venue's responsibilities: catering service, room setup, and facility logistics. A day-of coordinator like Hillcrest & Co. manages your entire wedding day across all vendors, handles your personal timeline, coordinates your wedding party, manages last-minute changes, and ensures your vision comes to life exactly as planned. We work for you, not the venue — and having both means nothing falls through the cracks.
What is the difference between a wedding planner and a day-of coordinator?+
A wedding planner helps you plan your entire wedding from start to finish, including vendor selection, budget management, and design decisions. A day-of coordinator steps in after you’ve done the planning to manage the execution on your wedding day. At Hillcrest & Co., our day-of coordination begins 4–6 weeks before your wedding, when we review all vendor contracts, create a detailed timeline, and ensure every detail is accounted for so your day runs flawlessly. What happens during the 4–6 weeks before my wedding?+
During the weeks leading up to your wedding, your Hillcrest & Co. coordinator reviews all vendor contracts and confirms arrival times, creates a comprehensive minute-by-minute timeline, conducts a venue walkthrough, distributes the final timeline to all vendors and your wedding party, and meets with you to review every detail. This preparation is what makes the day itself feel effortless.
What should I look for when hiring a day-of coordinator?+
Look for a coordinator with real event experience, not just a certification. Key qualities include strong vendor relationships, calm problem-solving ability, attention to detail, and a communication style that matches yours. Ask about their backup plan if they get sick, how many events they handle per weekend, and request references from recent couples. At Hillcrest & Co., we bring 35+ years of combined production and event management experience to every wedding.
Is a day-of coordinator worth the cost?+
Most couples say hiring a day-of coordinator was one of the best investments they made. Without one, you or your family members end up managing vendors, solving problems, and watching the clock instead of enjoying the celebration. A day-of coordinator ensures every dollar you’ve spent on your wedding is maximized — vendors arrive on time, the timeline flows naturally, and you’re fully present for every moment. Our Essential package starts at $1,500 CAD, a small fraction of most wedding budgets. Read: Do I Really Need a Day-Of Coordinator? →
